  Special shoutout to @OllieRodriguez who was Program Lead from 2021 to 2025 and built up a significant portion of the portfolio. I believe many of the events and organizers (myself included!) wouldn’t be where they are today if it weren’t for his contributions to the community events program. Thank you Ollie!

  Hey Nishit,

  Thank you for writing this post and voicing your concern for the attendees. I’m the CEA Coordinator in charge of the event, and was one of the core decision-makers for having this event in New Delhi in December this year.

  Before choosing this city and date, we consulted with many local senior EAs and tried our best to weigh the trade-offs. Some of the considerations included:

  • Attendee data from both EAGxIndia 2023 (Jaipur) and 2024 (Bangalore) showed that a large majority of attendees are from the Delhi and New Delhi area.

  • The team had many other projects this year, and it turned out that with our constraints, the next nearest date would be March 2026, which would mean no event in 2025.

  • And as you discussed, the poorer air quality during the winter months. We recognised this would have some negative effects on attendees (especially if the weather conditions are particularly unfavourable during that weekend), and would mean that some potential attendees would choose not to come.

  Based on feedback from local community members, there was a significantly stronger preference for an India event in Delhi this year rather than waiting until March.

  We are implementing several mitigation measures:

  • The venue spaces will be fully air-conditioned and indoors.

  • Sourcing for additional air purifiers (supplementing what the venue already provides)

  • Free N95 masks for attendees

  • Clear pre-event communication about air quality risks so attendees can make informed decisions about whether to attend

  We acknowledge that these measures reduce but don’t eliminate health risks, and some people—particularly those with respiratory conditions—may need to opt out of this event.

  We recognize that we could have also highlighted the air quality risks on the EAGxIndia website and when reaching out to speakers.

  We hope that overall our decision turned out to be okay overall and feedback from the community will help us assess that. For future events, we are already planning to move the 2026 events to earlier months with hopefully better air quality, and exploring options to expand to multiple cities in India.

  Thanks for the comment. We were largely constrained by venue availability and pricing. Having it a week later would run too close to Christmas, raising venue prices and potentially limiting the attendance of people who celebrate the holiday. Overall, 2024 is also an unusually popular year to get married, and most large event spaces are booked until February 2025.

  We did consider the availability of local students but only had access to public calendars, which state that the vacation should start after December 7th. (NUS, NTU, SMU) It might also be helpful to know that, historically, EAGxSoutheast Asia has been run by working professionals at both EA and non-EA organizations, and we’re extremely flexible in working around the team’s ability to take leave at work.

  Hi Spencer! It might be a good idea to start a public channel in EA Anywhere and then transition to a separate workspace once the group gains traction and/​or obtains funding for a paid workspace. Being on a free plan means potentially losing messages older than 90 days. It might also be really hard for one person to engage and moderate an entire Slack community without being compensated.

  Hi Jonathan!

  I’m Dion from EAGxSingapore, one of the two community contact people for the event. I’m sorry you felt this way during the conference and wanted to clarify some points.

  1. We did not monitor attendee interactions or 1-1s during the conference. The only exception where we kept track of attendees was for the underaged participants, as alcohol was served during the event. This was explicitly stated to the affected individuals.

  2. It was a priority for us to have a local community contact person. (Me!) However, I (personally) felt that our other contact person was valuable as he had much more context on the EAs flying in from outside the region than any other person on the team. The decision was also partially made because the two of us were the most likely to be contactable since our responsibilities during the conference allowed us to be on our phones/​laptops more than the others.

  3. The community contact persons did not work in isolation. Whenever an issue was raised, we would consult each other, the rest of the team, and sometimes CEA’s Community Health team or the local group organizers relevant to the situation to get as much context as possible. For the cases in EAGxSingapore, we preferred to have people sort it out themselves unless we were explicitly requested to step in.

  4. The staff for the conference were probably walking/​looking around a lot more than at other events. However, this was because we underestimated the required clean-up crew and were on the lookout for trash lying around.

  Thanks for pointing this out, it is an important consideration, and this might not be a good exercise depending on the audience present.

  For EAGxSG, it was definitely being more afraid that the audience would err on the side of not asking for help. I also checked with some experienced EAs at the conference on whether or not this was something I should mention. Context: The attendees of EAGxSG were mainly from areas without large established EA communities (Africa, Asia, Middle East), and many of them would likely not be able to go to other conferences due to visa issues or other factors. This meant they would have to reach out directly to other EAs solely based on their (scarier) internet profiles without opportunities to build rapport or meet people in more casual social settings.

  Part of it was also because this is a talk, and asking a longer question with caveats might mean that I lose the audience’s attention. The initial thought was probably more of ‘If you had the emotional bandwidth, time, work capacity and ability to help an EA, putting aside any imposter syndrome, would you?’
